Capture bills in seconds

Photograph the paper bill — PETTIVIA finds the edges, straightens the receipt and compresses it, then reads it: the invoice number, date and amount arrive already filled in. It never overwrites what you typed, and it tells you what it filled so you can undo it.

Claims, not arguments

The manager sends verified bills to the office as one numbered claim. The office reviews bill by bill, returns what needs fixing, approves, and pays when the money actually goes — every step on the record.

Rules the app can't bend

Verification stamps, bill numbers and posted entries are locked by the database, not by the screen. Who did what — and when — is kept in a trail nothing can edit.

One receipt, several categories

A supermarket run is not one category. Tick the box and give each category its own amount — the total adds itself up, so there is only one number that can be wrong. Any amount box takes a sum: type 5+4+6 and see what it comes to before you commit it. The statement prints such a bill as one row per category, each with its share of the total.

Transfers that can't be disputed

Cash handovers are HELD until the receiver confirms on their own phone — with photo evidence attached. No more “I never got it”.

Clean funding

The office tops people up with credit-only entries — reimbursements carry their claim's reference. The books always show who funded whom, and why.

Verify everything

Every bill waits for the manager's verification. Voiding posts an auditable reversal, and a site user withdrawing their own bill keeps the record and its photo — nothing is deleted, so the reference series never has an unexplained gap.

Nobody's invoice is changed behind their back

When the office corrects a bill, the cash manager has to confirm it. When the manager corrects one, the person who filed it has to confirm it. Until then nothing moves — the amount, the balance and the books stay exactly as they were, and every request, answer and refusal is on the bill's own record.

Trip Monitor

Work trips and fuel, kept apart from site cash: the car and its plate, the odometer read off a photo, each fuel bill closing the last leg. The person claims from the office directly — no manager in between — and prints a trip report to sign.

Know what you're owed

The claim position shows, for any period, how much the site has spent that the office has not yet paid back — split into not claimed, with the office, approved, and reimbursed. One figure answers “where is our money?”.

Projects, isolated

Each project is its own cash world with its own manager, users and reports. The org admin oversees them all; nobody sees across the fence.

One person, several sites — one pocket each

Anyone can work across more than one site, and then they hold a separate balance on each, never one mixed figure. Money moving between people has to say which site it belongs to, so a site's books can never quietly absorb another's.

The office funds a Site User. They confirm receipt — the balance updates.

Capture

The Site User pays, snaps the bill, fills the details. Their balance reflects it instantly.

Verify

The manager reviews photo + details and verifies — or voids with a remark, on the record.

Claim

The manager sends verified bills to the office as one numbered claim. The office reviews, approves, and reimburses — confirmed on receipt.

Report

Month-end: one tap produces the statement and the photo album. Signed, sealed, settled.

Who does what

Seven seats, each with exactly the power it needs — enforced by the database itself.

Cash Manager

Runs a site’s cash end-to-end — or several sites, from one panel: verifies and voids bills, claims them back from the office, tops up, manages users and their sign-in codes, sign-off names, categories, reports.

Admin

Runs the organisation: projects and their managers, people and their seats, company branding on reports, plan usage. Sees the money read-only and never moves it — cash is the Cash Manager’s and the office’s, and the database enforces it.

Site User

Holds cash. Submits bills with photos, transfers to teammates, tracks their balance, and exports their own monthly report.

Approving User

Signs off expenses without touching the money. One screen, no workspace: they see what is waiting for their approval and nothing else — which is the point, since an approver who could also file bills could approve their own.

Accounts

The office seat: reviews the site’s claims bill by bill, approves and pays them, and funds cash holders with credit-only entries — across one project or several. No balance of their own.

Fleet Officer

Watches the company fleet, never the money: every car’s latest reading and who took it, service and registration coming due, kilometres by person, failure reports. Its own login — or a grant on any existing seat.

View-Only / Virtual

username / none

View-Only sees every screen and changes nothing — ideal for walking a new manager through the app. Whoever creates the seat gets a username and a code to hand out, and more than one person can sign in with them. A Virtual User is just a name on the ledger — no login exists, transfers to them post instantly.
